How do I scan to an Email or USB storage device using Ricoh printers?

Note: Scanning is a free, however students must have at least six (6) cents credit on their Deakin Card to access this service.

Usage Instructions (Scanning)

  1. Swipe your Deakin Card in the card reader, or enter your Deakin username and password manually using the keypad on the printer.

    You only need to swipe your card once, so please be patient and wait for the screen to load. If you have print jobs in the queue, they will automatically appear.

    Note: You may be prompted to select an account code. This happens when your salary is allocated to multiple account codes, or when you hold multiple positions within the university.

    The account codes are imported into PaperCut from the Human Resources systems. Select the appropriate account from the list provided.

  2. Select Use Device Functions.

  3. Place your original document face-up in the Auto Document Feeder, or face-down on the glass.

Scanning to PDF, Word or Excel

  1. Select Advanced Scanning.

    To get back to Advanced Scanning, press the Home button > PaperCut > Advanced Scanning.

  2. Select your desired format: PDF, searchable PDF, Word document or Excel document.



    1. PDF – Creates an image based PDF version of your document.

    2. Searchable PDF – Uses OCR* to create an editable version of your document in PDF format.

    3. Word – Uses OCR* to create an editable version of your document in RTF**.

    4. Excel – Uses OCR* to create an editable version of a table or spreadsheet in MS Excel format.

  3. If required, add Document Name and/or adjust Scan Settings.

  4. Press Start.

Scanning to email

  1. Select Advanced Scanning or Scanner for models with physical scanner button on the left-hand side of the control panel.

  2. Select the Scan to me button.

  3. Adjust the Scan Settings and/or Original Feed Type as required.

  4. Press Start.

Scanning to USB devices

  1. Select the Scanner button on the left-hand side of the control panel or Advanced Scanning > PDF/AScan Settings.

  2. Insert your USB device into the port located on the right-hand side of the main dashboard.

  3. Select Store File and Store to Memory Device.

  4. Press Start.

* OCR = Optical Character Recognition
** RTF = Rich Text Format

Please do not forget to collect your original documents as well as your prints. Ensure you log out of the device. To log out, select the Home key > PaperCut Icon, then press Logout or re-swipe your Deakin Card.

To maintain a secure printing environment, you will be automatically logged out if the device is left inactive for three minutes.
