Email Export & Archive – Instructional Guide (macOS)


Note: This is an instructional guide on using Microsoft Outlook's mail archive tool for macOS (Apple) machines. If you are using a Windows machine instead, please refer to this guide.

Export Instructions

Note: The following instructions are for Microsoft Outlook for Office 365. If you are using an earlier version such as Office 2016 or prior, please consult this guide.

 

Note: Please note Outlook for Mac only exports to .olm file types, and CANNOT export to .pst

 

1. Please make sure that you are using the "Old" view in Outlook and that you do not have the "New" look enabled as seen below.

Or from the Outlook menu

Then Select Revert

2. At the top of your Outlook ribbon, choose 'File'. Next, select 'Export'.

3. The Export to Archive File (.olm) window will open.

4. From the list, select what types of items you would like to export.

5. When satisfied, click 'Continue'.

6. Click 'Where' to select where to save the Archive File (.olm).

7. Enter a file name, and choose 'Save' to continue.

Note: Depending on the size of your selection, this may take up to five minutes to export.

Opening an OLM or PST File

Please note Outlook for Mac only

  1. At the top of your Outlook ribbon, choose 'File'.
  2. Next, select 'Import'.

    At the top of your Outlook ribbon, choose 'File'.  Next, select 'Import'

  3. From the list, select what format/type of items you would like to import. Click 'Continue' once selected.

    • Use 'Outlook for Windows archive file (.pst)' if you are importing a file from a Windows version of Microsoft Outlook.

    • Use 'Outlook for Mac archive file (.olm)' if you are importing a file from a macOS version of Microsoft Outlook.

  4. You will be presented with a Finder menu. Navigate to, and select the respective .olm or .pst file, then click 'Import'.

    Click 'Continue' once selected. Navigate to, and select the respective .olm or .pst file, then click 'Import'
Note: Depending on the size of your selection, this may take up to five minutes to import.
